Print servers allow printer to be connected to a network and be shared among several users. When a printer is installed on a server, any user connected to that network can install the printer through Windows or similar software.
The print server manages the printing queue, spools documents and prioritizes print jobs across the network. In larger offices, server-based printing allows you to pool printers, connecting several printers to the network and sending print jobs to available resources.
There are also many additional benefits, savings and features. For one, a small number of networked printers frees up considerable desk space compared to having a printer for every PC.
You no longer need to buy a dedicated printer for each user; therefore you can save space, electricity and maintenance costs. In addition, networking, especially with Wi-Fi, gives you flexibility in locating shared printers. For example, if printer noise is an issue you can put them in a separate room.
Quick to install, you can add a printer to your network in minutes. No need to shut down your network. Also, a server-based printing setup lets you connect several printers, each suited to different tasks.
For example, a high-output black-and-white laser printer may handle most of your printing needs, and you can use a second color model for marketing and for getting small jobs done faster when the main printer's tied up. With this added flexibility, you surely can avoid queues or delays allowing you to be more productive.
When it comes to access, modern Wi-Fi networked printers easily accommodate mobile devices such as smartphones and tablet computers. The Wi-Fi protocol automatically connects portable devices whenever they come into range with the printer or Wi-Fi router and disconnects them when they leave the immediate area.
